When multiple users collaborate within the same Recruiting Copilot workspace, it’s important to understand how candidate unlocking works so that you can avoid confusion around visibility.
This article explains what happens when a candidate is unlocked in one search and how that affects other users in the same workspace.
How does It work?
In Recruiting Copilot, candidate unlocking is handled at the workspace level, not just the individual search level. This means that once a candidate is unlocked in one search, their contact information becomes unlocked across the entire workspace, and all users in that workspace can access the unlocked information.
Users do not need to unlock the same candidate again.
Check out the example below...
If a candidate is unlocked in Search A:
The candidate’s contact information becomes available everywhere that candidate appears within the workspace.
If the same candidate appears in Search B, their information will already be unlocked. No additional unlock is required, and no additional credits or charges are applied.
There is no second unlock prompt, and the candidate will display as unlocked.
WhatI if a user is not part of the original search?
Even if a user wasn't included in the original search or does not have access to that search, they will still:
See the candidate’s unlocked information
See the candidate displayed as unlocked
Have access to the full candidate activity history
Unlocking is not restricted to search membership. It applies across the workspace for all users.
Activity visibility across the workspace
All related candidate activity is visible within the candidate’s Activity tab, including:
Searches the candidate appears in
Messaging activity
Notes
Feedback
This ensures transparency across team members.
Will we be charged twice for unlocking?
No.
Once a candidate is unlocked in a workspace:
They do not need to be unlocked again
There are no duplicate charges
There is no second unlock action required
How to coordinate outreach
Because all unlocks and activities are visible at the candidate profile level:
Always review the Activity tab before reaching out
Check for prior messaging, notes, or feedback
Confirm whether a colleague has already engaged the candidate
This helps ensure coordinated outreach across teams.
